First Time Users

  • A profile of your personal information and preferences must be created before you begin using the ILLiad Interlibrary Loan system.

  • From the initial ILLiad page select the "First Time Users!" registration.
    (If you have already entered a profile on ILLiad, do not logon again as a First Time User. If you have already registered and are having difficulty logging on, the ILL staff can reset your password so you can renter it.)

  • A New User Registration Page will appear. Please read the document and copyright statement. Press the "First Time Users Click Here" button at the bottom of the page.

  • The Registration Form will appear. Enter as much information as possible. Fill out the required fields (these are in red!) Like most webforms, "Tab" throughout the form to enter data. Do not hit the "enter" key or the form will not complete.

  • If you want someone else to be authorized to pick up your Interlibrary Loan material, make sure you put the appropriate information in the Authorized Users field. Authorized Users will be required to present a photo ID to pick up materials for you.

  • Choose a username. We suggest the use of your CWRUnet ID, but not your entire email address (i.e."jdoe3", not "jdoe3@cwru.edu"). Do not use your social security number as a username.

  • Choose a password. Make it something you can remember! We cannot see your password on our staff screens and only ILL staff can reset it. Other library staff do not have access to the ILLiad password system. Please remember your password is case sensitive.

  • When all information is completed, press the "Submit Information" button at the bottom of the page.

  • If an error has been made or information omitted, an error message will appear at the TOP of the page. If necessary, fix the needed fields and press the "Submit Information" button again.

  • Your personal Main Menu will appear.

  • You are now able to use ILLiad. Next time you logon, you will need to enter only your username and password in ILLiad! Please remember that your password is case sensitive.

  • Practice good security. Please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Changing a Password

  • Logon to the ILLiad system using your current username and password (use "ill" if your password has been reset by an Interlibrary Loan staff member).
  • After you are logged on, the Main Menu will appear. Scroll down the page and select the button "Change Password."
  • Enter your current password (use "ill" if your password has been reset by an Interlibrary Loan staff member) and your new password.
  • Press the "Submit Information" button.
  • The Main Menu reappears and displays a message confirming that your password has been successfully changed.
  • When you are finished using ILLiad, exit by pressing the button labeled "Exit ILLiad System" at the TOP of the Main Menu.

Remember: Passwords are case sensitive.


Changing Your User Information

Change the following information by choosing "Change User Information":

  • Name
  • Social Security Number/ ID Number
  • Preferred Notification Method
  • E-Mail Address
  • Phone Number
  • Preferred Article Delivery Method
  • Preferred Electronic Delivery, if Possible (Available in isolated instances at this time.)
  • Campus Mailing Address
  • Campus Mail Code
  • Customer Status
  • Department
  • Authorized Users (Other people who can pick up your materials)

Requesting a Book (Loan)

Use the "Request a Book" button to request the loan of an entire work. Examples include books, entire conference proceedings, and loans of microfilm reels and microfiche. Note: entire periodicals are not available as loans from other libraries.

  • Logon using your username and password. The Main Menu for ILLiad will open.
  • Press the button "Request a Book" to open a request form.
  • Enter as much information as possible about the item you are requesting. Required fields include: Author/Editors and Title. The more information given, especially the ISBN or OCLC number, the faster the searching process will be for the Interlibrary Loan staff.
  • If you have additional information, enter that information in the notes field.
  • Edit any field if you have made a mistake.
  • After entering all the information, press the button "Submit Request".
  • If you have made a mistake and you have already submitted the request see Editing a Request.
  • The Main Menu will reappear.
  • When you are finished using ILLiad, exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Please remember to submit a separate request for each item (loan).


Requesting a Photocopy (Article)

Use the "Request a Photocopy" button when the item you want is an article within a journal, a paper within a conference proceeding, or a single chapter within an anthology or collected work. Photocopies become your property and do not have to be returned.

  • Logon using your username and password. The Main Menu for ILLiad will open.
  • Press the button "Request a Photocopy" to open a request form.
  • Enter as much information about the item you are requesting as possible. Required fields include: Title (of the journal), Inclusive Pages (of the article), and the Article Title. The more information given, especially the ISBN, ISSN or OCLC number, the faster the searching process will be for the Interlibrary Loan staff.
  • If you have additional information, enter that information in the notes field.
  • If you have made a mistake, simply edit the field.
  • After entering all the information, press the button "Submit Request" .
  • If you have made a mistake simply edit the field in question. If you have already submitted the request see Editing a Request.
  • The Main Menu will then reappear.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Please remember to submit a request for each item (article).


Editing a Request

  • Logon to ILLiad using your username and password.
  • Press the button "View / Modify Outstanding Requests" to display your active requests that have not yet been processed.
  • Select the request you wish to edit by pressing the appropriate transaction number button at the left of the page. You will then see detailed information about that request.
  • The request can be edited as long as the status of the request has not passed the status of "Request Sent" (detailed date-stamped information about the item is at the bottom of the page.)
  • Press the button "Edit Request" at the top RIGHT hand corner of the page to open a request form. To edit the request, enter the additional information in the appropriate fields.
  • Press the "Submit Request" button at the bottom of the page.
  • The Main Menu reappears and displays a message confirming that your request has been updated successfully.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Canceling a Request

  • Logon to ILLiad using your username and password.
  • Scroll down to "View / Modify Outstanding Requests" to display your active requests that have not been processed.
  • Select the request that you wish to cancel by pressing the appropriate transaction number button at the left of the page. (detailed date-stamped information about the item is at the bottom of the page.)
  • Press the "Cancel Request" button in the top RIGHT hand corner of the page. This automatically cancels the request.
  • The Main Menu reappears and displays a message confirming the cancellation of your request.
  • You can resubmit cancelled requests from the "View / Resubmit Cancelled Requests" button.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the TOP of the Main Menu.

Renewing an Interlibrary Loan Item

  • Logon to ILLiad using your username and password.
  • Scroll to "Checked Out Items" and press the button to display Interlibrary Loan items checked out to your username. (NOTE: Only Interlibrary Loan items are renewable in ILLiad. CWRU and OhioLINK items are checked out in your regular CWRU Circulation account, viewable online through "View Your Circulation Record" on EuclidPLUS.
  • Select the item that you wish to renew by pressing the appropriate transaction number button to the left. (detailed date-stamped information about the item is at the bottom of the page.)
  • Check to see if renewals are allowed (there is a question towards the bottom of the page "Renewals Allowed?"). If renewals are allowed, press the button "Request Renewal" at the top right hand corner of the screen. If renewals are not allowed, please return the book as soon as possible to prevent receiving overdue notices and having your account suspended.
  • After renewing a request, you will be notified that "This item has been renewed for another 2 weeks. There can be no further renewals."
  • Once the item has been renewed the duedate will automatically reflect the two week renewal and the "Renewals Allowed?" answer will change to "no".
  • Then "Return to the List" where you may view/renew other items checked out to your username. You may also choose to "Exit to the Main Menu".
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View / Modify Outstanding Requests

  • Outstanding Request(s) are those requests still in-process. They do not include items that are checked out, cancelled, or articles that you have already received.
  • Logon to ILLiad using your username and password.
  • Press the button "View / Modify Outstanding Requests". Select the appropriate transaction-number button for the request to display a detailed information page.
  • From here you may modify/edit the request by changing information or providing additional information. See Editing a Request.
  • You may also check the status of a request by selecting the appropriate transaction number button and scrolling to the bottom of the page.
  • "Return to the Main Menu" for further transactions.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View / Renew Checked Out Items

NOTE: Your ILLiad account is only for ILL items. Renew your CWRU or OhioLINK items through "View Your Record" on EuclidPLUS.

  • Logon to ILLiad using your username and password.
  • Scroll down to and press the button "Checked Out Items" to view all the requests checked out to your username.
  • Select the appropriate transaction-number button for the request you wish to view/renew. (detailed date-stamped information about the item is at the bottom of the page.)
  • Check the due date or see if renewals are allowed (see the "Renewals Allowed?" question).
  • To place a renewal request see Renewing an Item.
  • Return to the Main Menu" for further transactions.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View Request History

  • Logon to ILLiad using your username and password.
  • Scroll down to and press the button "View Request History" to view all the requests that have been completed (photocopies that have been received and loans that have been returned) using ILLiad.
  • Select the appropriate transaction number button for the request you want to view. You will then see detailed information about that request.
  • This function helps you avoid submitting duplicate requests. It also gives you a list of all the items you have obtained through ILLiad.
  • Return to the Main Menu" for further transactions.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

How do I check the status of a request?

  • Logon to ILLiad using your username and password.
  • Scroll down to and press the "View/Modify Outstanding Requests" button to view all the requests still in process on ILLiad.
  • Select the appropriate transaction number button for the request on which you wish to check the status. You will then see date-stamped, detailed information.
  • Scroll to the bottom of the page.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

View / Resubmit Cancelled Requests

  • Logon to ILLiad using your username and password.
  • Press the button "View / Resubmit Cancelled Requests" to view all the requests that have been cancelled by you or ILL staff.
  • Select the appropriate transaction number button for the request you wish to view / resubmit. You will then see detailed information about that request providing the reason for cancellation.
  • You can resubmit the cancelled request by selecting the button "Resubmit Request" at the top right-hand corner of the screen. (You should only resubmit the request if you have more information about the item, were asked to retry within a certain time frame, or have had a search done through circulation on an item we own and it has been declared missing.)
  • A request form will open with the request's original information. Edit what is necessary, then click the "Submit Request" button at the bottom of the page.
  • The Main Menu reappears and displays a message confirming that your request has been updated successfully.
  • When you are finished using ILLiad, please exit by pressing the button labeled "Exit ILLiad System" at the top of the Main Menu.

Why can I not logon?

There are several reasons you could be having trouble logging on to ILLiad.

  • You may have entered an incorrect username or password. Passwords are case sensitive. Check the caps lock - did you have the caps lock on when you registered to use the ILLiad Request System or is it on now?
  • Have you forgotten your username or password? If you can not remember your username or password please email the INterlibrary Loan department ILL-Law@cwru.edu. ONLY Interlibrary Loan staff members can tell you your username or reset your password. Please do not re-register as a first time user.
  • You may have pressed the button "Logon to ILLiad" more than once. This slows the system down. Please do not press ANY button more than once.

Where are my requests? I cannot find them.

Your requests may be in several categories. You will soon learn where to quickly look for the different requests/places on ILLiad:

  • View/Modify Outstanding Requests -- Requests that are still in process for you to view, edit, or cancel .
  • Checked Out Items -- Items checked out to your username; can be renewed.
  • View Request History -- History of all your completed requests, photocopies you have already received and loans you have returned.
  • View/Resubmit Cancelled Requests -- View or resubmit any request that has been cancelled either by you or Interlibrary Loan staff.
