Interlibrary Loan Fact Sheet & Policy Statement for Kelvin Smith Library

Interlibrary loan policy for the libraries of Case Western Reserve University Library is governed by the National Interlibrary Loan Code , the Bibliographic Center for Research Interlibrary Loan Code, and the State of Ohio Interlibrary Loan Code.

Please note that the following libraries are separately administered organizational units. We recommend that you contact them directly for their individual interlibrary loan policy statements.

LOANS:

BOOKS
Will lend; 4 weeks use; renewal (at our discretion) -- additional 2 weeks, if requested within 5 days prior to original due date; no 2nd renewal
PERIODICALS
Will not lend, except under extraordinary circumstances, with librarian’s approval (limited loan period; no renewals; in-library use only)
PH.D. DISSERATATIONS
Will lend (U.S. & Canada only), if not available from UMI; 4 weeks use; no renewals; available from UMI, circa 1966 to present (please contact directly to verify). All Ph.D. dissertations now located at KSL Depository & will entail additional $45 retrieval fee, if loaned. Electronic versions of some CASE theses & dissertations may also be searched in Digital Case or OhioLINK.
MASTERS’ THESES
Will lend (U.S. & Canada only), if not available from UMI; 4 weeks use; no renewals; selectively available from UMI (please contact directly to verify). Except for most recent 5 years, all masters' theses now located at KSL Depository & will entail additional $45 retrieval fee, if loaned. Electronic versions of some CASE theses & dissertations may also be searched in Digital Case or OhioLINK.
MUSIC (BOOKS, SCORES)
Will lend; 4 weeks use; no renewals
ASTRONOMY
Will lend; 4 weeks use; no renewals
SCRIPTS
Will lend; 4 weeks use; no renewals
GOVERNMENT DOCUMENTS
Will lend (except microfiche & bound serials); 4 weeks use; no renewals
LIBRARY USE ONLY (in open collection--formerly: REFERENCE)
Will not lend, except under extraordinary circumstances, with librarian’s approval (limited loan period; no renewals; in-library use only)
RESERVE MATERIALS
Will not lend (permanent reserve or course reserve)
AUDIO-VISUAL
Will not lend
SPECIAL COLLECTIONS
Will not lend; will photocopy entire monograph titles, dependent upon the condition and length of the items, in accordance with copyright laws – at the discretion of  the Special Collections’ librarian
MICROFORMS
Will not lend, except for occasional CASE thesis/dissertation titles (4 weeks use; no renewals; in-library use only); will not lend newspapers on film
MICROFICHE
Will not lend
OTHER
Brittle or damaged books, and items relocated to remote storage (except older thesis/dissertation titles not also held at UMI) are not available for loan on ILL.

Ohio academic & public libraries -- no charge
U.S. academic & public libraries outside Ohio -- $15.00
All others -- $25.00
Remote Storage (
KSL Depository) retrieval fee (theses/dissertations); additional -- $45.00
Invoice processing surcharge (i.e., non-IFM payment) -- $3.00
NB: Patrons of OhioLINK member institutions are encouraged to borrow circulating titles directly from our collection, via the OhioLINK online borrowing system.  They may submit their requests through the OhioLINK Central Catalog , or check out items on location, with proper identification.  (Loan periods and renewals, etc., are governed by a separate set of policies.)

PHOTOCOPIES (periodicals, proceedings, reference & other materials deemed suitable for duplication):

STANDARD
1-20 pages -- $15.00; 21-40 pages -- $20.00; $0.30 per additional page (no charge to institutions with which CWR has established **reciprocal agreements; currently limited)
PRINT FROM MICROFILM
1-10 pages -- $15.00; $0.50 per additional page (no charge to institutions which CWR has established reciprocal agreements; currently limited)
THESIS PHOTODUPLICATION -- titles unavailable for loan from CWR & unavailable for purchase from UMI
1-100 pages -- $50.00; $0.30 per additional page (price quote provided by CONDITIONAL, fax or e-mail--pre-payment no longer required)
INVOICE PROCESSING SURCHARGE -- transactions not via OCLC
Non-IFM payment -- $3.00

SPECIAL SERVICES:

RUSH/DELIVERY
$12.00 min. domestic UPS; $60.00 min. foreign UPS (based on international zone); additional charges apply to reciprocal borrowers -- base loan fee not charged
RUSH/FAX
no charge for local or reciprocal; $8.00 domestic long-distance; $15.00 international long-distance)
ELECTRONIC DELIVERY
no additional charge (any method, i.e., Odyssey, e-mail PDF attachment)
PATRON PICK-UP (LOCAL)
no extra charge beyond standard loan fee (if any applies, as above ); request must be submitted as usual (ALA, FAX, etc.)—one form per title; limit of 5 requests per patron per visit; prior notification from borrowing institution encouraged; items held at service desk up to 48 hrs.
SEARCH/VERIFICATION
no charge

PAYMENT:

  • Invoice sent with requested material; payable upon receipt (May be provided under separate cover for electronically delivered articles.)
  • IFM billing to OCLC participants
  • Credit cards not currently accepted; deposit accounts not available
